Upon approval of your sponsorship request, you will be sent an invoice with payment instructions from Michael McNicholas at the University of Maryland.

Funds received will be administered by the University of Maryland College Park Foundation for the benefit of the 2019 Design and Engineering of Neutron Instruments Meeting VIII.

Company Logos & Materials for Distribution (if applicable)
All company profiles, websites, and logos must be submitted to be displayed on the DENIM website and to be included in conference material. Company logos must be submitted as a hi-resolution image file (e.g. esp, jpg, jpeg, png, or gif). Company profiles may be up to 650 characters long (with spaces). Please email these items to DENIM2019@nist.gov.

Brochures, leaflets and/or advertisements to be included within conference registration packets must be delivered to the University of Maryland Conferences & Visitor Services office (Attn: Lisa Press, 4321 Hartwick Rd., Suite 500, College Park, MD 20740) to arrive no later than Tuesday, September 3, 2019. It is requested that you also send an email to NISTRegistration@umd.edu with a tracking number or confirmation that you are sending the materials so that we can confirm receipt. Please send 120 – 130 copies.


Exhibit Installation, Removal, and Designated Times (if applicable)
Exhibit space will include a 30″ wide by 6′ long table and two chairs. Limited space is available behind the table but not to either side of the table.

Exhibit set-up will begin on Monday, September 16 at 2pm. All exhibits must be set up by 5:15pm. The Welcome Reception begins at 5:30pmĀ on Monday evening at a location TBD. We strongly encourage your representative(s) to be present at your table during all scheduled breaks, poster session(s), and lunches. Exhibits should be taken down and moved out any time after 1pm on Thursday, September 19 or any time before 10am on Friday, September 20.


Shipping Materials
Materials may be shipped to the hotel to arrive no earlier than Wednesday, September 11.

Conditions
Please note that space is limited and will be filled on a first come, first served basis in the order in which paid submissions are received. Only sponsors that reflect and support the conference goals/objectives will be deemed eligible to participate. If the conference committee is unable to accept your submission, you will be contacted and payment will not be processed.


Security
Bethesda North Marriott Hotel and Conference Center and the 2019 DENIM VIII organizing committee are not liable for any stolen, damaged or otherwise compromised exhibit items. Exhibitors agree to be solely responsible for the safety of their exhibited and personal items. Please be advised to secure easily stolen and/or valuable objects during non-exhibit hours.


Cancellation Policy
No Refunds will be administered after payment has been received and processed.
